WELCA Board Meeting St. John's Lutheran Church April 2, 2012

Glenda opened the meeting with devotions and a prayer.
Minutes from the January 5th, 2012 meeting were read and approved.
Correspondence included thank you cards from the families of Flora Stevens, Betty Stinton, Edith Renken and St. John's Library. A memorial of $100 was also received from the Flora Stevens family, which will go in the memorial fund. It was noted to remove Flora Stevens from Ruth Circle in the program book.
Bernice Less brought a donated quilt top. A check for $35 will be given to Sharon Collier who finished piecing the quilt top. The St. John's quilters will finish the quilt and it will be donated to the Life Skills Quilt Auction. Lynne made a motion to take the funds needed to finish the quilt and the $35 to Sharon Collier from the Special Misc Fund. Motion seconded by Joan. Motion carried.
Dolores Bohlken is now a shut in for Deborah Circle. She is at Brentwood.
It was noted there is a lot of items for kits in the quilting room, so feel free to use them when putting your kits together.
A suggestion was made from Dorcas Circle to contribute to the Comfort Fund which funds the shipping items for Lutheran World Relief.
Glenda will purchase 18 dish cloths for the kitchen.
A motion was made by Joan to give an offering of $250 to the Synodical Womens' Organization, second by Yvonne, motion carried.
Glenda will be the representative from St. John's on the World Day of Prayer Committee.

WELCA Board Meeting St. John's Lutheran Church January 5, 2012

Glenda opened the meeting with devotions and a prayer.
Minutes from the December board meeting were read and approved as written.
Arlene presented the December Treasurer's Report, which was reviewed and filed for audit.
Correspondence included thank you letters from the families of Mathilda Johnson and Eva Varenhorst; The Bridge, Council on Sexual Assault and Domestic Violence, and Boys and Girls Home of Sioux City, for the donations from our Benevolence Fund; National WELCA for our Thankoffering; and from Pride Group to thank Dorcas Circle for helping decorate their Christmas tree.
Several corrections were noted for the program book: Estella Herman, a shut-in for Deborah Circle, is now residing at Good Samaritan. Jolene Hamann, 620 14th Ave NE, 546-6120, and Glenda Schmidt, 314 2nd Ave NW, 546-5245, are members of Dorcas Circle. Eileen Lubben, shut-in for Dorcas Circle; Mathilda Johnson, member of Leah Circle; and Evalyn Sievers, member of Sarah Circle, are deceased. Kathy Frerichs is no longer a member of Naomi Circle.
In response to a request by Rachel Westhoff, a Do-Day was added for Tuesday, May 8. Sarah Circle will be hostess.
Officers of the WELCA Board for 2012 were elected by acclamation. Glenda Wiener will continue as Coordinator, Marlys Frerichs will serve as Vice-Coordinator, and Arlene Wiener will continue as Treasurer. Yvonne Law will be contacted to see if she will serve as Secretary, with Arlene Wiener as substitute.
Approval was given to renew the subscriptions to Our Iowa for The Abbey, Good Samaritan Society, Plymouth Manor, and Plymouth Life, for the next two years.
Planning for a Unit meeting--Music, Reminiscing, and Ice Cream--on Tuesday, May 1, at 1:30 p.m., ensued. Marlys and Lynne will prepare music, Arlene will give a devotion and purchase ice cream treats, Lois will make coffee, Joan and Joanne will develop the reminiscing activity, and Janet will prepare and announcement for the bulletin and newsletter. An offering will be taken as usual at a unit meeting.

WELCA Board Meeting St. John's Lutheran Church December 1, 2011

Glenda opened the meeting with devotions and a prayer.
Minutes from the October board meeting were read and approved as written.
Arlene gave an oral Treasurer's report for November.
Janet read a thank you from Lutheran World Relief for the money that we donated to the LWR Shipping Fund. She also reported that two dozen new dishtowels had been purchased for the kitchen, and that Shirley Jelken has embroidered St. John's on them.
Need for replacing the refrigerator in the kitchen with a commercial refrigerator was discussed. Some circle members who worked at funerals indicated that they did not see a need for one at this time, so the matter was tabled.
A request from Rachel Westhoff to approve repair of three sewing machines used for Do-Day sewing, at a cost of approximately $215, was approved. Thrivent has donated $150 to cover part of this cost.
Two circles have changed the time they will meet. Ruth Circle will meet at 1:30 p.m. on the third Thursday of the month, and Deborah Circle will meet at 2:00 p.m. on the third Monday of the month.
Changes to the WELCA policies were read and approved. The policies will be printed in the 2012 program booklets, which should be ready in time for the December circle meetings.
Discussion ensued about where to donate the money in the Special Benevolence Fund, which totals $1,055.53 at this time. The group decided to give $100 to the church library, as specified in WELCA policies, and $200 each to five charities, namely CSADV, Tanzania Girls' School, The Bridge, Boys and Girls Home in Sioux City, and the St. John's Welfare Fund, with any extra given to the Welfare Fund.
Glenda appointed Lois Winecoff and Marlys Frerichs to audit the treasurer's books after January 1.
No Circle volunteered to coordinate the scheduling and delivery of Meals on Wheels for next year. It was decided that a letter would be given to the Church Council telling them that WELCA can no longer perform this task. Because our church is scheduled to deliver Meals on Wheels in January 2012, the group brainstormed names of some people whom they thought might be willing to coordinate it. Pastor Marcia volunteered to call and try to recruit someone to do so. Joanne Gabriel will be contacted to print the sign-up sheet, so that it can be put up on the bulletin board. Janet will write a letter to the Church Council.

The treasurer's report for September was presented.
Thank you correspondence was read from the family of Rudy Adler indicating a donation of $75, and from Barb Shostak and brothers for the donation from WELCA to the Ingham Okoboji Camping Ministry in honor of their mother.
Old business included a discussion of the responsibilities of volunteers to deliver Meals on Wheels, which was requested by Kay Allen of the Outreach Team. Arlene will write the information and get it to the Team.
Ruth Circle reported that they would indeed be disbanding at the end of 2011. Members of that circle are encouraged to join one of the other circles.
New business began with a discussion of the number and format of unit meetings for the next year. It was decided that two meetings per year (spring and fall) be recommended and that they be social in nature, with no program. No Circle would serve. Instead something simple, such as cookies or ice cream bars would be purchased from the budget for these meetings. Thankokfferings would be taken in individual circles. This will require a change to Policy #11 of Policies of the Women of the ELCA St. John's Unit, which is found in the back of the 2011 Program booklet.
The idea of purchasing a commercial refrigerator which did not include a freezer, to replace the one we have in the kitchen was suggested. It would make it easier to store large pans of salads for funeral lunches. It was decided that cost information would be gathered and this would be considered again at our next board meeting.
Replacing worn dishtowels was discussed. Deborah Circle is in charge of laundering dishtowels from now until the end of December, so will determine how many need to be replaced. A recommendation to purchase two to three dozen new dishtowels as needed was approved.
A reminder will be placed in the bulletin and newsletter indicating that circles are now forming and new members are welcome and encouraged to attend any of the circles.
Thoughts for Daily Living was discussed. Lynne Bogh indicated that she would continue in charge for one more year, but after that we would need to keep track of the number of people who call Thoughts for Daily Living in a week, to help determine the need for the service. Also, each circle is asked to poll the circle members to determine how many of them listen to Thoughts for Daily Living with any regularity, and report at the next board meeting.
Glenda will be assigning Circle Opportunities for 2012 this month so the information can be given to Hannah Circle for the new handbook. Please get any member additions, deletions, or changes in address or phone number, to Glenda after your October circle meeting. A request was made to have page numbers in the handbook if it is not too difficult to do.

WELCA Board Meeting St. John's Lutheran Church August 2, 2011

Glenda opened the meeting with devotions, "Friends are Forever.".
Minutes from the April board meeting were read and approved as written.
Arlene reported that a total of $413.42 has been donated to the LWR shipping fund. St. John's WELCA will add $400 to this and Thrivent will add $200, so we will be able to donate $1103.42 to this fund.
Items to complete 100 school kits were purchased from the money donated by Sunday School children. Money left after purchasing those was donated to the LWR shipping fund.
Glenda read a thank you from the Women's Funding Network for the 17 cell phones and accessories that we donated.
Glenda, Arlene, Moni Lang, and Rachel Westhoff attended the WISWO annual convention, "Women of Hope," in Fort Dodge on June 25. Arlene reported that it was inspiring and interesting. The convention offering was $3,991, with one half of it going to churchwide WELCA, one fourth to Center for Agricultural Development, and one fourth to the Women's Seminary Scholarship Fund. The In-Kind offering of personal hygiene kits included 327 completed kits and five boxes of additional supplies for kits.
Discussion was held about doing a complete cleaning of the kitchen cupboards once a year instead of twice, but cleaning and polishing the outsides of the cupboards twice a year. It was also decided that a kitchen inventory would not be done on a regular schedule, but as the need for one arose.
Marlys brought up the scheduling of Meals on Wheels. She will talk to Pastor Marcia to see if she would consider taking on this responsibility and/or if she would recruit someone from the congregation who is not necessarily a Circle member.
A copy for each circle of the Circle Opportunities for 2012 survey will be put in the WELCA folder. Circle chairpersons are asked to give the completed sheet to Glenda after their August meeting, or after the September meeting for circles which don't meet in August.

WELCA Board Meeting St. John's Lutheran Church April 7, 2011

Glenda opened the meeting with devotions about guardian angels.
Minutes from the January board meeting were approved as corrected. Arlene Wiener was added to those present and Glenda (not Linda) Schmidt joined Dorcas Circle.
The March Treasurer's Report was reviewed and filed for audit.
Correspondence included thank you letters from Ingham Okoboji for memorials, PALS, The Gospel Mission, National WELCA, and Council on Sexual Assault and Domestic Violence.
Good Samaritan Society of Le Mars will accept packaged cookies or money to purchase cookie dough which can be baked in portable ovens at Good Samaritan. Since we will no longer be assigned a month to provide cookies, it is up to individuals or Circles to provide cookies or funds as they see fit.
The 8th Triennial Gathering of WELCA will be held in Spokane, Washington July 14-16, 2011. Registration must be received by June 10. There is money in our local WELCA budget to pay the expenses of one person. Anyone who is interested should contact Glenda or Arlene Wiener.
The Western Iowa Synod WELCA annual convention will be held at St. Olaf Lutheran Church in Fort Dodge, on Saturday, June 25. Glenda Wiener was elected as our delegate. All others are welcome to attend. Registration forms and other information about the meeting were handed out for each circle. For those with no representative at this meeting, there will be forms in the WELCA folder in the office hallway. We voted to send an offering of $250 to the convention. There will be a box put in the office hallway where you may put In-Kind "We Care" kits or individual items for the kits. Those attending the convention will take these items with them. Those registering for the convention may contact Glenda to share transportation.
The unit meeting, "Spring Tea and Friends," will be held on Saturday, April 30, with Dorcas and Deborah Circles serving. Two people are requested from each of the other circles to help with greeting and ushering guests into the sanctuary, where the program will take place. These persons should be at the church no later than 1:30 p.m. Women from all the churches in Le Mars have been invited. The Tulip Festival queen and her court will provide the program and will be given the standard honorarium of $25. Possibly a group of musicians from Le Mars Community Schools will also perform. If they do, it was approved to give the school music program an honorarium of $15.
Dorcas Circle requested a change of date for the Thank offering Unit meeting to November 1 in the hopes that the weather would be better then than at the end of the month. This change was approved. Someone from The Bridge, in Orange City, which is designed to help women and children in distress and need, will present a program at this meeting, since the February meeting was cancelled due to weather conditions.
A poster about where quilts and kits were sent by LWR in 2010 will be put on the bulletin board in the basement. A sheet about why the changes were made in the items included in LWR kits will be copied and put in the WELCA folder, so that each Circle may have one. It was brought to our attention that it is quite expensive for Lutheran World Relief to send quilts and kits overseas. There is a fund at LWR that accepts donations to defray these costs. We voted to urge Circle members and others from the congregation to consider donating money for this purpose. St. John's Lutheran Women of the ELCA will match what is donated, up to $400. We will have an announcement put in the Newsletter. In 2010, St. John's sent 247 quilts, 171 school kits, 140 health kits, 109 layettes, and 76 sewing kits to LWR. These items alone would cost LWR $1,383 to ship.
Janet reported that Thrivent Financial had donated four new dishtowels for our kitchen.

WELCA Board Meeting St. John's Lutheran Church December 2, 2010
Janet Wiener gave the devotion from Newsletters she receives. The first reading from the Sioux City Gospel Mission newsletter about God's help to us based on Psalm 46:1. The second was on An African Christmas, so different from ours, but one thing remains the same...Jesus.
Minutes from the October 7, 2010, board meeting were reviewed. They were approved with no additions or corrections.
The Treasurer's Report for November was not available, however, Arlene gave us the numbers. The checking balance as of 11/1/2010 was $5,718.94. The ending balance will be $5,910.26 plus the interest amount earned during the month.
Old Business: Thank you notes were received from Ingham-Okoboji for our memorials sent for deceased women of the church, and from Lutheran Services in Iowa. Janet thanked Deborah Circle for hosting the November Unit meeting, Naomi Circle for serving at Do-Day in October, Unit officers for serving at Do-Day in November and Hannah Circle for preparing the 2011 program books.
Sarah Circle has decorated the Christmas tree at the Abbey. The rest will be decorating this coming week.
It was decided we will keep collecting the Campbell soup labels and Boxtops for Education for our local schools and not split them with the Navajo ELC Mission. We will, however, keep this Mission in mind for possible future contributions.
We were reminded of the Annual WISWO Convention to be held June 25, 2011, at St. Olaf Lutheran Church in Ft. Dodge, Iowa. The In-kind Offering will be "We Care Kits" for the Beacon of Hope. You may collect any or all of the following items. You can put them together as kits, or just purchase the items for them to put the kits together. A "We Care Kit" is as follows: In a 1-gallon Ziploc bag put: Pocket packs of Kleenex Travel size shaving cream Travel size deodorant Disposable razors Travel size 2 in 1 (shampoo/conditioner) Toothbrushes Bar soap or body wash Toothbrush covers Dental floss Travel size toothpaste New washcloths
We were also reminded of the Triennial Gathering to be held July 14-17, 2011, in Spokane, Washington. The cost estimate is $1000.00. Our treasury will pay for the registration fee, transportation (via train from Omaha) and lodging of 1 attendee. If we register before January 7th, we receive a $35.00 discount. Please consider attending on behalf of St. John's WELCA.

We briefly discussed the WELCA survey and how to get new members into our circles. The results were basically all over the page without having a majority saying one thing that interested them most or what time of day would be most convenient. However, one thing did come out. The best way get new members is to INVITE!! Invite someone that is not in a circle. Most women feel they need an invitation, so INVITE!!
New Business: Chris Knapp and Lynn Bogh were appointed to audit the WELCA treasurer's books.
Officers will be elected at the January meeting. Please prayerfully consider an officers position.

The Treasurer's Report for September was reviewed. The checking balance as of 9/30/2010 was $5,499.25.
Old Business: Thank you notes received from Life Skills (quilt auction), Good Samaritan (cookies), and from the families of: Carl Mammen, Roger Utesch, George Frerichs, Darlene Gronemeyer, Matie Ruble, & Anita Berkenpas.
Bernice Less asked for donations of quilts already pieced together. These will be used for Life Skills. She indicated they do not have to be "beautiful."

The subject of soup labels and Box tops for Education has been tabled for later discussion. We are considering splitting these between Le Mars schools and The Navajo ELC Mission.

The Twin Lakes Fall Retreat was held September 8, 2010, in Manson, Iowa. Janet Wiener, Marcia Young, Kristy and Margaret Pecks attended. Janet said a wonderful program about laughter was presented. For more information on this go to laughinglaura.com
Janet reported on the Western Iowa Synod Women's Regional Fall Leadership and Officer Training held in Spencer, Iowa. Arlene and Janet Weiner attended and delivered the collected bibles. Discussion was held regarding Women ages 18-35. They discussed the importance of the age groups involvement as well as topics that are important to them. Janet suggested we publish the website address for www.boldcafe.org in the bulletin and newsletter.
Triennial Convention will be held in Spokane, Washington next summer. Delegates are needed. The cost is about $1,000.00/person. Registration deadline is January.
New Business: The drying rack in the kitchen needs to be replaced. Janet researched and shopped for a new one. She recommended one she found at Wal-Mart for a cost of $19.96. The board approved the purchase.
Christmas tree decorating schedule was accepted. Deborah Circle will decorate at Good Samaritan. Leah Circle will decorate at Plymouth Life. Ruth Circle will decorate at Plymouth Manor, and Sarah Circle will do the Abbey.
We received updated lists for the Midwife and Aids/Hospice kits. Also, knitted baby caps will be included as a Global Health Ministry offering. Instructions will be included in the 2011 WELCA Booklet.
Janet will check with Marcia regarding new shut-in possibilities.
A Benevolence list was distributed. We will be taking the list to our next circle meetings and marking the circles preferences (no more than 12) for 2010 donations. We may also make suggestions not on the list. New to the list this year is Oaks Indian Mission, Oaks, Oklahoma (Navajo Children), Kings Engineering Fellowship, Orange City, Iowa (Janet explained this), Ronald McDonald House Charities of Siouxland and Lutheran Chaplaincy Outreach. Lutheran Services of Iowa sent appeals.
Mission Action (Thrivent report) and Lutheran World Relief quilts and kits report will be displayed on the bulletin board.
Janet will check with Rachel Westhoff for further instructions about repairing and donating 2 sewing machines to Goodwill.

ST. JOHN'S LUTHERAN CHURCH WELCA Board Meeting August 5, 2010
Janet Wiener gave the devotion on Love one another.
April minutes were read. They were approved with no corrections or additions. The treasurer's report was not ready for presentation. The checking balance as of June 30, 2010, was $5,183.79. This total was before convention expenses and the income and expenses for the Canton Son's of Norway luncheon. Arlene indicated the check from the group was $399.00 and the cost of the meal was $339.00 giving us a positive net amount of $60.00.
Correspondence: Thank you notes were received from the following: Canton Son's of Norway, Ingham Okoboji Bible Camp, Navajo Evangelical Lutheran Mission, Christine Kluemper family, Roger Utesch family, Matie Ruble family, Ruth Summerside family, and Esther Lubben family.
We briefly discussed the beauty and value of the stained glass windows in the church.
Old Business: The electric knives in the kitchen are okay. They were not working properly because they had the wrong knives on them. They do not need to be replaced.
Thank you's were expressed to Ruth Circle for serving the May Unit Meeting, Deborah Circle for serving at Do-Day in April, Sarah Circle for serving at Do-Day in May, to all those who helped clean the kitchen, for all who provided cookies for Good Samaritan in July and to those that helped with the Sons of Norway lunch on July 20th.
The two CD players were purchased and are now available for checkout from the church office.
At our last meeting, we discussed the possible need to purchase new sewing machines. Someone suggested we seek donations first. We did get some in so we will not need to purchase any at this time.
Janet reported on the WISWO Convention. She and LaVonne Wiener attended this at St. Paul Lutheran Church in Atlantic, Iowa. There were 134 people in attendance (42 voting members). The convention offering totaled $4,839.00, In Kind offering was $338.00 and many blankets and Bibles were received. Our church donated 4 boxes of Bibles. The budget for 2011-2012 was approved and officers were elected and installed. They also elected Triennial Convention delegates. Two resolutions were approved. 1) continue to support a 3 year pledge of $15,000.00 (total) to the Center for Agricultural Development in Tanzania. 2) congregations continue their mission projects and financial support, along with their prayers for ELCA missions. They celebrated worship with communion and hymns. Tami Trewet was the speaker. She used Jeremiah 29:11 as the basis for her speech. A thank you was received from the Lullaby Foundation and an update on the well project in Tanzania was given.
New Business: There will be a Guest Day Salad Luncheon at Immanuel Lutheran at Akron today. 9 women from our church will be attending .
Circles need to elect their board linking person for 2011 in September and report back to Janet with that name. Also bring any program book changes to the October board meeting.
Western Iowa Synod Women's Regional Fall Leadership & Officer Training will be held at Bethany in Spencer, Saturday, October 2nd from 1:00 pm - 3:30 pm. There is no cost. New officers may wish to attend this.
Twin Lakes Fall Retreat will be held September 8th, 8:30 am - 3 pm in Manson, Iowa. The $20.00 registration fee is due August 25th.
Janet receives a newsletter called Seeds for the parish. An article, "Praying a million minutes for peace" was brought to our attention. Go to www.amillionminutesfor peace.org for more information on this U.N. International Day of Peace event. (September 21, at noon).
Policy Committee, Marlys, Chris and Joan, will meet to review policies September 7th at 1:00 pm.
Continue to collect Campbell soup labels and Box tops for Education. The Navajo ELC Mission can use these as well as Le Mars schools.
Complete Circle Opportunities Survey at the next circle meeting.
Quilts sent to the Ingham Okoboji Quilt Auction (July 31st) brought approximately $800.00 and $400.
The next meeting of this board will be held, October 7, 2010, at 9:00 am.
